A payment total shows collected revenue, not the amount the operator can safely treat as profit. The business still has to pay for the service provided, maintain equipment and handle support.

Start with verified collections

Use confirmed payments and distinguish them from pending attempts, imported entitlement and operator-entered adjustments. Reconcile the application records with merchant evidence for a defined period. Otherwise, even the starting sales figure may contain events that are not new money received.

Deduct the actual operating costs

Track internet service, hosting, power, provider charges, messaging, paid support and other relevant business expenses. Equipment and installation also need to be considered in the business’s accounting and planning. Do not call the whole payment balance profit simply because software licensing is one-off.

• Compare equivalent time periods for sales and expenses.
• Record refunds and corrections explicitly.
• Include the support effort needed to keep customers connected.

Use examples honestly

Ten sales at KSh 50 create KSh 500 in gross revenue. The amount left after costs depends on the actual operation. That arithmetic does not establish likely sales volume, a return on investment or a guaranteed daily income.

Review the pattern, not one good day

Use several representative operating periods and investigate unusual results. A busy event, an outage or a renewal cluster can distort a short sample. The useful outcome is a clearer view of demand and cost, which can guide package changes and further investment.
